How to order a wedding cake with Birch House Bakery

Learn all about how to order your dream wedding cake with us - from initial enquiry through to delivery on your big day. We pride ourselves on providing a seamless, personal and professional service that ensures all the dots are connected and your wedding cake is designed and delivered to our exacting standards. Read through the steps below about our ordering process, and take a look at our simple step by step infographic.



Check our availability

However you might find us - whether through a recommendation, social media, our affiliated venues or a Google search - take some time to browse our wedding cake pages online and submit an enquiry via our contact form online.

Tell us about when and where you will be getting married plus a bit about numbers at your wedding. We aim to respond to you within 24 hours to let you know if we have availability on your wedding day so please check your email (and spam) inbox. We advise you book your wedding cake with us at least 12-9 months before your wedding day as key months book up quickly.



Initial wedding cake quote

If your wedding date is available we will then email you to ask for more details about your day and ideal cake design or elements of a designs you like. We find that most couples have already browsed sites such as Pinterest and have some idea of what they are hoping for. If you have a wedding cake budget it's also helpful to share this too. From here we are then able to give you an estimate quote.


Securing your wedding date

If you are happy with the quote we then ask for a £100 deposit to secure your wedding date. This essentially means that your date is now in our diary and we can begin to plan your design, cake tastings and logistics on the day. Along with your deposit booking form you will also receive a set of our terms and conditions which outline all the details you need to know about our wedding cake service.


Cake tastings & consultation

Next comes the fun bit! We will then email you to book your complimentary postal cake tasting box online using your own personal discount code. Cake tasting boxes are sent several times a year so you will be able to select which date suits you. You will also receive a link to book your wedding cake consultation online which takes place via Zoom. These are typically bookable on Wednesday evenings between 6pm and 8pm and last around 30-45 minutes. At the consultation we will discuss the design of your wedding cake, flavours and all the administrative details of the day, including the liaison with your florist (if you are having fresh flowers), the venue arrangements and your wedding planner (if you have one).




Wedding cake design

Once your consultation has taken place we then take away all your ideas, images and colour schemes and using our design creativity sketch up your final wedding cake design. This is drawn digitally and shared with you for your approval. This beautiful digital sketch is also a wonderful keepsake for the future. We will also be able to provide a final quote for your design and wedding cake size in an updated booking form.


Final details

Several months before your wedding date we will contact your florist to discuss the wedding cake flowers (if you are having fresh flowers) and send them the wedding cake sketch so they are clear on your design. Typically wedding cake flowers are left at the venue on the wedding day and your cake is finished with flowers by us on the day. We will also liaise with your wedding venue to confirm time of delivery of your wedding cake, and will also hand them a wedding cake delivery form which includes information on your wedding cake flavours, wedding cake serving guides and allergen information. (We prefer to deliver wedding cakes due to the fragile nature of delivery and to ensure they are set up and finished to perfection). Your final balance is also due 6 weeks prior to your wedding day and we will be in touch with you about it around this time.


Now all is left for you is to sit back and rest assured that your wedding cake is in expert hands - and will look stunning and taste delicious on your special day!
